D&A Accommodation Letters: Common Questions and Concerns

This webpage contains a list of the most common reasons why you might not have received your accommodation letter(s) or why you encountered an issue with one of your letters.

 

You have not completed D&A’s online Accommodation Letter Request Form.

D&A does not issue accommodation letters to students automatically. Students must request their accommodation letters via the online request form in order to receive their letters. You can access this form via the following page of D&A’s website: https://disability.utexas.edu/using-accommodations/.

D&A has not finished processing your Accommodation Letter Request Form.

Requests for accommodation letters are fulfilled in the order they are received. It takes up to 3-5 business days for D&A to process letter requests so please be patient during this time.

NOTE: D&A can only generate accommodation letters for the current semester. We begin processing letter requests one week before classes begin each semester. All requests submitted prior to that period are kept in the order they are received until processing begins.

You requested an accommodation letter(s) for a course/instructor that does not match your current UT enrollment.

D&A is only able to provide accommodation letters to students for courses or instructors as they appear on the student’s current enrollment. For example, we cannot issue accommodation letters for:

  • Courses on your waitlist
  • Teaching Assistants or Assistant Instructors
  • Instructors who are not listed as the primary instructor of a course
  • Courses with a different/incorrect name, number, or unique number than what is listed on your enrollment
  • Incomplete courses from a previous semester

You requested an accommodation letter for two instructors for the same course, but you only received an accommodation letter for one of the instructors.

D&A can only process accommodation letters for the primary instructor of a course. When instructors co-teach a course, you do not need to provide each instructor a separate accommodation letter. Instead, you should print a copy of the letter you received for the primary instructor and deliver it the secondary instructor as well.

You requested an accommodation letter for a course with no instructor.

If a course is listed in UT’s records without an instructor, we cannot generate an accommodation letter for that course. If you are in a course that was assigned an instructor at the last minute or is pending an instructor assignment, please resubmit another accommodation letter request to D&A once the instructor is added to that course on your enrollment.

Similarly, some courses do not have a specific instructor assigned to them due to the nature of the course. The following types of courses are common examples:

  • Dissertation, Master’s Thesis, Honor’s Thesis, Research/Lab Credit, Practicum/Internship, Field Instruction, Individual Instruction (e.g., Music, Dance, Voice), Qualifying Exam, etc.

These types of courses are often taught by, or associated with, multiple faculty members. Therefore, D&A cannot generate accommodation letters with a specific instructor’s name for these types of courses. If you are taking a course that is taught by numerous faculty or you are assigned to work with a specific faculty member that is not listed for the course, then D&A will issue you a letter for the course without an identifying instructor name. As a result, your instructor will not be able to view their accommodation letter for this course through the D&A Portal. You will be responsible for providing them with a copy.

Please note that there can be delays in processing accommodation letters for courses that do not have an instructor assigned to them in UT records. You will receive a separate email from D&A when this type of letter is made available to you. You should contact D&A at access@austin.utexas.edu if you requested a letter for this type of course(s), but you did not receive it, and it has been over 5 business days since you submitted the request.

You requested an accommodation letter for a University Extension (UEX) course.

We are unable to generate accommodation letters for UEX courses. Please follow the instructions on D&A’s website for requesting accommodations for UEX courses: http://disability.utexas.edu/online-learning/.

You submitted a special accommodation letter request for someone who is not an instructor for one of your courses (e.g., graduate coordinator, advisor, program chair).

As stated on the accommodation letter request form: Customized letters for someone other than an instructor assigned to a course will only be available in hard copy and must be picked up in person from the D&A office during business hours (M-F 8am-5pm), unless otherwise arranged with your Access Coordinator. You will receive an email from D&A when a printed accommodation letter(s) is available for you to pick up.
